Terms & Privacy
The short version: we process your documents to give you data back, and we don’t keep them.
Last updated: 17 July 2026
These terms govern your use of Tax Doc Scanner (“the Service”, “we”, “us”). By creating an account or using the Service, you agree to them. If you don’t agree, please don’t use the Service.
1. What the Service does
You upload or photograph documents — tax forms, receipts, and notes — and the Service returns structured data or a transcription of what it read. It is a transcription tool: it reports what is on the page and flags what it can’t read.
2. Your data — what we store, and what we don’t
We do not store the documents you upload, or the data we extract from them. Uploaded images and files are held in memory only for as long as it takes to process a single request. They are not written to our databases, not saved to disk, and not logged. Once your result is returned, the uploaded content and the extracted result are discarded.
Processing by our AI provider. To read your documents, we transmit them to our third-party AI processing provider (Google, via the Gemini API) for the sole purpose of producing your result. That transmission is a necessary part of the Service. Your use of the Service is also subject to that provider’s applicable terms.
Optional storage features are opt-in. Features such as encrypted cloud storage and the client upload portal are not yet available. If and when they launch, they will store your documents or extracted data only if you explicitly enable them. We will never retain your scanned content by default.
Account data we do keep. To run the Service we store the information needed to operate your account: your name, email address, password (stored only as a secure hash), your scan-credit balance, and a record of credit grants and purchases. Payment card details are handled by our payment processor (Stripe) and are never stored by us.
3. Accuracy — you must review the output
Automated extraction can be wrong. The Service may misread a figure, miss a field, or misclassify a document, and it is not a substitute for professional judgment. You are responsible for reviewing every result before relying on it. Nothing the Service produces is tax, legal, or financial advice.
4. Your account
Keep your login credentials secure and provide accurate information. You are responsible for activity under your account. One free credit grant is available per account; abusing sign-ups to obtain multiple free grants is not permitted.
5. Credits and payment
Scans are prepaid with credits. Paid credit packs are billed through Stripe. Credits are consumed per page or image scanned. We may change pricing prospectively; changes never affect credits you have already purchased.
6. Acceptable use
Use the Service only for documents you have the right to process, and don’t attempt to disrupt, reverse-engineer, or overload it, or use it to break the law.
7. No warranty; limitation of liability
The Service is provided “as is”, without warranties of any kind. To the fullest extent permitted by law, we are not liable for indirect or consequential losses, or for decisions made in reliance on the Service’s output. Our total liability for any claim relating to the Service is limited to the amount you paid us in the three months before the claim.
8. Changes
We may update these terms. Material changes will be reflected by the “last updated” date above, and continued use after a change means you accept it.
